Clinical Document Library solution for Cambridgeshire and Peterborough NHS Foundation Trust

The Challenge

Cambridgeshire and Peterborough NHS Foundation Trust (CPFT) had hundreds of shared drives around the Trust which meant that staff sometimes wasted valuable time searching for and storing clinical documents.  Following the Trust’s ‘Discovery Project’ report findings a requirement for a major upgrade of the system was identified.  The report recognised that existing ways of sharing clinical documentation on shared drives presented a number of risks and recommended an approach consistent with the Trust’s Strategic Vision and Principles ‘Way Ahead’ Programme.

The Solution

Serco ASP’s Media and Systems team developed a comprehensive clinical document library.  The library is a bespoke web based solution which provides a user-friendly, secure, single point of access for all authorised users.  The library is available throughout the trust and stores clinical records, letters, reports and HoNOS (Health of the Nation Outcome Scales) assessments against patient records.

The new system can:

  • Enable one location per patient to hold approved clinical documentation
  • Enable a single standardised way of storing and sharing clinical documentation
  • Provide a secure ‘library’ of clinical documentation that supports read only access and editable access
  • Be available to all authorised users throughout the Trust
  • Reduce staff time spent searching for and storing clinical records
  • Reduce duplication and movement of electronic documentation held on shared drives
  • Provide a definitive location for electronic versions of clinical information
  • Fulfil the role of a Trust-wide clinical library for clinical documentation per patient.

The results

THE project to develop a trust wide repository to hold clinical documentation for Cambridgeshire and Peterborough NHS Foundation Trust (CPFT) has been a huge success with over 200,000 documents transferred to a central digital library.  Annette Newton (CPFT Director of Operations) said

  • 150,00 clinical records entered, including patient records, care plans and assessments
  • 200,000 clinical documents initially transferred to the new clinical document library from over 50 shared network drives

  • Recording of HoNOS scores via clinical assessments for each patient
  • Covers four CPFT services – adult mental health; children and adolescent; learning disabilities and older people.
